Configuring User Digest Settings

User Digest Overview

Digests are used to allow end-users to easily view a list of emails that have been quarantined.

The digest allows users to take the following actions when viewing a quarantined email:

RELEASE ONCE

Allows user to release a specific email from a sender one time. This may be an email newsletter that they do not want to receive regularly or an email from a source that you feel may be a legitimate source. The release function does not update the Proofpoint Essentials spam-learning engine and does not create any rules in relation to the sender.

RELEASE ALWAYS

Allows the user to have the desired message released immediately and informs Proofpoint Essentials to create an Allow filter between the sender and recipient so that in the future, email from this sender will not be qualified as Spam.

To View Digest Settings

  1. Navigate to Administration > Account Management > Digests.

Options For Digests

Receive Quarantine Digest

Specifies if a summary report is generated or not. In addition, if setting under a specific user or functional account, an additional setting is available to enable to send a digest to an alternate email account in the same domain.

Only Include Messages Quarantined Since The Last Quarantine Digest Was Sent

Specifies that the Quarantine digest will only be delivered if new messages have been quarantined since the last time the report was run.

Quarantine Digest Delivery Start Time

The quarantine digest is sent out at 3:00 AM (default) local time (depending on the time zone configured for the company) and at other times throughout the day depending on the selected Interval described below.

Interval Between Quarantine Digest Checks

Specifies the frequency of the quarantine digest delivery. The default value is set to every 24 hours but there are options for 12 hours, 8 hours, 6 hours and 4 hours.

Retention Period

Defines the period of time that messages are retained in quarantine. The default/max retention period is 30 days.

Select other checkboxes as desired to include/exclude specific types of mail from the Digest.
Remember to Save changes.

NOTE: If Update Quarantine Digest settings for all existing user accounts is enabled, the company quarantine digest settings will replace any end-user settings that have been defined. Proofpoint Essentials allows you to manage these settings at the user level. Please go to Spam Settings Explained to learn more about how to make changes.

Functional Accounts

Functional accounts, as a distribution list, can receive a digest.

Accessibility

There is no password associated with a Functional Account and it cannot login to the User Interface (UI). Only Organization Admin (or higher) can administrate functional account settings.

Considerations For Digest Settings On A Functional Account

ENABLE DIGESTS FOR USER

SET TO - YES

A digest can be sent to the functional account, however by default it would go to the entire group. So if one person attempts to release a message, it would do so for the entire functional account, hence the entire group will receive the message.

SET TO - NO

No one on the functional account will receive a digest

SET TO - YES - BUT SEND TO ...

This setting is recommended if you want a sole admin on the functional account. This person can dictate everything for the group. However, accessibility to settings is still a function for the Organization Admin (or higher). The administrator for the functional account will have digest only actions.

How To Set Digest To Be Sent To Another User

If you want a user or functional account's digest sent to another user you can use the following steps:

  1. Navigate to Administration > User management > Users or Functional Accounts.
  2. Click on the desired User/Functional Account.
  3. Click Digests. (At the top of the page)
  4. Set Enable digests for users  to Yes - But send to alternative user.
  5. Use the 'Search users...' to search by Name.
  6. Select the email address of the user you want the digest sent to.
  7. Click Save.

Info: The 'Search users...' field will only work for users with a name set up. Searching by email address is not supported
