Email Security - Encryption (formerly EncryptSMART)

Email Security - Encryption enables IT admin's to automatically encrypt emails.

This service can be added to an account by subscribing to the "Email Security - Encryption" add-on package.

If you have subscribed to Email Security - Encryption, you will be able to see the "Email Security - Encryption" tab on the left side of your screen.

This tab contains 4 per-packaged policies that have been created to enable users to quickly start using the service.

The four predefined policies will trigger encryption when:

  1. An email body contains any of the following information which the user can chose from the checkboxes:
    1. Social Security Number
    2. Danish Personal Number
    3. Norwegian Personal Number
    4. Swedish Personal Number
    5. Credit Card Number
  2. The sensitivity of an outlook email is set to confidential. An end user can do this in his outlook client by:
    1. For individual emails under properties→ setting→sensitivity -> select confidential.
    2. For all his emails under mail -> default sensitivity level→select confidential.
  3. The email sender prepends an email's subject line with the word [Encrypt], [Encrypt], [encrypt]. This enables the end user to selectively encrypt an email that contains sensitive information but is not covered by any of the policies.
  4. An email sent by an end user contains atleast one domain or address listed in the text box. You can add specific domains or addresses for your organization in the box below the policy in the UI.

By default all the above policies are disabled. You can enable the policies by clicking on the check boxes next to each policy.

Please make sure to click on the "save" button on the bottom left corner to save any changes you make on this tab.

You can make additional custom policies that are specific to the needs of your organization by doing the following:

  1. Navigate to policies -> advanced policies
  2. Click on the "for outbound mail" tab
  3. Click on "Create Policy" on the upper right corner
  4. Complete the settings and rules sections
  5. Choose "Encrypt [STOP]" action from the drop-down actions

Important points to remember for sender and recipients of the email:

  1. The sender of an email will use his existing workflow to send an email with his email client without any additional steps except in policy #3 above where he will need to prepend the subject line.
  2. An emails that match the criteria for encryption will be encrypted.
  3. The recipient will receive a notification email with a link to read and respond to the email through a secure portal. First time recipients will have to setup an account by inputting their email address and a password of their choice. They will receive an email to confirm their email address after which they can start using the secure portal to securely read and respond to the encrypted email.
  4. The corresponding replies are also encrypted by Email Security - Encryption.
