VIPRE Changes to Outbound relay: Effective Date: 12 Sept 2023

What is happening?

Starting from 12 September 2023, any outbound email traffic relayed via our Secure Email Gateway system must originate from a 'known' domain listed in the Domains area of the Email Security administration portal. This new measure ensures that only authorized and trusted domains can utilize our gateway for outbound communication. Going forward, outbound emails originating from unknown domains will be rejected automatically by our system.

What action do I need to take before 12th September 2023?

  • Review Your Domain Routing Settings:
    • Log in to your Email Security Cloud admin console and navigate to the list of 'known' domains listed in the “Domains listing” area.
    • Review the list of domains that are defined and ensure that all domains and subdomains your organisation uses for outbound email are listed.
  • Add Your Domains:
    • If you identify any domains or subdomains that are not yet listed, add them by following the steps listed below. Be sure to complete this before 12 September 2023 or your outbound emails will be rejected.

What happens if I take no action?

If you do not take the actions listed above before 12 September 2023, your outbound emails will be rejected with a "Relay Denied" error message. Emails will not be delivered to the intended recipient. This will occur for all emails sent from any domain not listed in the Domains > Domains Listing area of the portal.

Adding domains instructions:

Select Domains on the left-side menu

  1. Click the + on the top-right

  2. Fill in the appropriate required fields and click Save & Continue

  3. Ensure DNS TXT Record is selected and add the provided TXT values to your DNS records

    • A verification code will be displayed in the portal that the domain owner or administrator will need to add to the TXT section (See screenshot below)

  4. Select one of the following:

    • Verify Later - this option is best if the required changes cannot be made right away

    • Verify Now - use this option if you have already made the required changes

Please note, in some circumstances, it may take up to 72 hours for changes to your DNS record to propagate across the Internet

To verify domains at a later time:

  1. From the Domain Listing screen, select the appropriate domain under the Domains Pending Verification section at the top

  2. Click Verify Now; the Edit Domain window will appear showing the DNS TXT Record verification method

  3. When ready, click Verify Now
