Proofpoint: User Enrollments Report (BETA)

Overview

The User Enrollments (BETA) report provides a single location where you can quickly view real-time data on Recently Active Training Assignments and user status for the past 365 days. A Recently Active Assignment is identified as a user who is enrolled but has not yet completed the assignment or an existing user enrollment grace period has not passed. This way, the report filters out assignments, like auto-enrollments, that don’t have anyone enrolled in them and just shows the assignments that have users who should be taking training.

 

You can look back on the last 365 days of data for active users. You can only access this beta report by clicking the User Enrollments link in the banner at the top of the Training page.

Top of Report- KPI

User Enrollments

  • Displays the number of active users enrolled in unique assignments within the last 365 days
  • If a user is enrolled in two assignments, it will count as two user enrollments
  • Does not include users who have been archived

Recently Active Assignments

  • Any assignment with at least one user enrolled within the last 365 days is considered recently active
  • The user may be in any of the below statuses for the assignment to be recently active
  • Active state means the assignment is CompleteIn progressNot StartedOverdue - In ProgressOverdue - Not Started
  • Does not include assignments that have been deleted
  • Does not include users who have been archived

Note: When an assignment is created and at least one user is added, the assignment and the user(s) will display on this report. You can have users who are added to the assignments but have an enrollment date in the future and they will show on the report because they are in a Recently Active Assignment (This will match the users table in the Edit Assignment Page).

Overdue User Enrollments

  • Any user enrollment that has not been completed after their assignment due date is considered overdue
  • Displays the number of active user enrollments that have not been completed after their assignment due date is considered overdue within the last 365 days. This includes either Overdue-In Progress and Overdue-Not Started
  • If users are in the grace period, they are considered overdue
  • If the Due Date has been extended, the users will be removed from the total of overdue user enrollments

User Assignment Status - Status Bar & User Enrollments table

Complete

  • User has completed all module(s) that make up the assignment within assignment due date window

In-Progress

  • User has started 1 or more of the module(s) that make up the assignment and is within the assignment due date window

Not Started

  • User has not started any of the module(s) that make up the assignment and is within the assignment due date window

Overdue- In Progress

  • User has started 1 or more of the module(s) that make up the assignment and is NOT within the assignment due date window. (Past Due)

Overdue- Not Started

  • User has not started any of the module(s) that make up the assignment and is NOT within the assignment due date window. (Past Due)

User Data - User Enrollments Table

First Name

  • User's First Name

Last Name

  • User's Last Name

Note:  Search only works with User First and Last name (cannot do partial name). It is not case sensitive.

Known Issue:  Clicking on the first or last name will send you to an error page.  This will be corrected n a future release.

Assignment Name

  • Training Assignment Name
  • To view the modules that are part of the assignment, click on the arrow on the right hand sideto expand the selection.

Enrollment Date

  • Scheduled Assignments - The start date and enrollment date of the assignment are one in the same. The Admin chooses this date when the assignment is created. If the start date is set for the future, that date will still show in the table as enrollment date.
  • Duration Assignments - The date the user gets notification of assignment enrollment (the last day of the delay window). If the delay window is =0, then the enrollment date will be that day.
  • Auto Enrolled Assignments - The Admin can create the assignment on a specific date, either scheduled (start date will be enrollment date), or duration (last day of the delay window when the user gets a notification will be the enrollment date). For Auto-enrollment, the date on which the user fails for the phish and is auto-enrolled as a result

Due Date

  • Date the Assignment is due

Status

  • User’s status in the Assignment
  • Match the statuses in the status bar
  • When the user hovers over Assignment Status it should display:
    • Total number of modules in the assignment
    • Name of each module
    • Current Status of each module (Not Started, In-Progress, Complete)

Completion date & Time

  • Day and time stamp the user completes the assignment (all modules)
  • Time stamp is in UTC

Manager Email Address

  • Email address of the manager assigned to this user.
  • Is a custom property

User Email Address 

  • Email address of the user.
  • NOT a default column
    • You will have to remove one column in order to select this one.
  • Can search by email address

Tips:

  • Table only shows 8 columns at a time (User Email Address is not shown as a default)
  • Columns are sorted by default
  • Columns can be re-ordered
  • Columns can be sorted ascending and descending order
  • Column selector allows the user to enable and disable different columns
  • Table display 10 rows at a time

Note:  You can export all information in the User Enrollments report by selecting the Export button. Information is exported in Excel format.  The export will contain all data - those columns both enabled and disabled and will not honor search or filtered criteria.  In addition, you will see three columns that will pull data from the backend but will not be part of the table:  SSO Id, Assignment Creation Date, and Assignment Type.
