Proofpoint: User Enrollments Report

Overview

The User Enrollments Report provides a single location where you can quickly view real-time data on Recently Active Assignments and user status for the past 365 days. A Recently Active Assignment is identified as a user who is enrolled but has not yet completed the assignment/assessment or an existing user enrollment grace period has not passed. This way, the report filters out assignments, like auto-enrollments, that don’t have anyone enrolled in them and just shows the assignments that have users who should be taking training.

Training User Enrollments

To access the report:

  1. Under Tools, click Security Awareness, followed by Launch Platform
  2. Navigate to Training AssignmentsUser Enrollments tab

Top of Report- KPI

User Enrollments

  • Displays the number of active users enrolled in unique assignments within the last 365 days
  • Does not include users who have been archived
  • Provides percentage of total users enrolled in at least one assignment
  • The number of unique users enrolled in unique assignments
  • A single user enrolled in two assignments will count as two user enrollments.

Recently Active Assignments

  • Any assignment with at least one user enrolled within the last 365 days is considered recently active
  • The user may be in any of the below statuses for the assignment to be recently active
  • Active state means the assignment is CompleteIn progressNot StartedOverdue - In ProgressOverdue - Not Started, Overdue - Completed
  • Does not include assignments that have been deleted
  • Does not include users who have been archived

Note: When an assignment is created and at least one user is added, the assignment and the user(s) will display on this report. You can have users who are added to the assignments but have an enrollment date in the future and they will show on the report because they are in a Recently Active Assignment (This will match the users table in the Edit Assignment Page).

Overdue User Enrollments

  • Any user enrollment that has not been completed after their assignment due date is considered overdue
  • Displays the number of active user enrollments that have not been completed after their assignment due date is considered overdue within the last 365 days. This includes either Overdue-In Progress and Overdue-Not Started
  • If a user completes the assignment but it was completed during the grace period, they will show as Overdue-Completed
  • If users are in the grace period, they are considered overdue
  • If the Due Date has been extended, the users will be removed from the total of overdue user enrollments

User Enrollment Status - Status Bar

  • Show: Select either the user Count or the Percentage of users to view in the status bar
  • Filter: Choose the time frame for the table
  • Assignment Name: You can filter by a specific assignment name

Clicking on the different sections for the status bar will filter the data in the User Enrollments table.  Each section has a numerical metric that specifies how many users are in each status.

Click on the cloud icon to export the status bar information in any of the formats listed below:

  • PNG 
  • JPG
  • SVG Vector Image
  • PDF Document

User Data - All Enrollments Table

The table as well as the export will contain:  Assignment Creation Date, Assignment Modules, Assignment Name, Assignment Type, Completion Date and Time (UTC), Due Date, Enrollment Date, First Name, Last Name, Score, SSO ID,  Status, and User Email
You can change what columns are visible by selecting Manage Columns at the bottom of the table and enable or disable specific columns
When exporting, you will be prompted to select the columns of data you wish to export. You can select up to 16 columns

Assignment Creation Date

  • Date the Assignment was created, not started

Assignment Modules

  • Modules that have been assigned in the assignment

Assignment Name

  • Training Assignment Name -  clickable link that will reroute to Assignment Details page
  • You can click on the Assignment Name Filter drop-down to sort on specific assignment names.

To view the modules that are part of the Training Assignment, click on the arrow on the right hand side to expand the selection or click on the Assignment name and open the Assignment Details page where you can locate the modules in the Modules table.

Assignment Type

  • Scheduled, Duration, Phishing Simulation auto-enroll duration, Phishing Simulation auto-enroll scheduled

Business Unit

  • Business unit that user is a part of
  • Is a custom property

Completion date & Time

  • Day and time stamp the user completes the assignment (all modules)
  • Time stamp is in UTC

Department

  • Department that user is a part of
  • Is a custom property

Due Date

  • Date the Assignment is due

Enrollment Date

  • Scheduled Assignments - The start date and enrollment date of the assignment are one in the same. The Admin chooses this date when the assignment is created. If the start date is set for the future, that date will still show in the table as enrollment date.
  • Duration Assignments - The date the user gets notification of assignment enrollment (the last day of the delay window). If the delay window is =0, then the enrollment date will be that day.
  • Auto Enrolled Assignments - The Admin can create the assignment on a specific date, either scheduled (start date will be enrollment date), or duration (last day of the delay window when the user gets a notification will be the enrollment date). For Auto-enrollment via Knowledge Assessment or Phishing Simulation, the date on which the user fails the assessment or the phish and is auto-enrolled as a result

You can use the Filters drop-down to sort on a specific date range. Only the last two years of data are available using the date filters. The default date range is the last 6 months.

First Name

  • User's First Name

Last Name

  • User's Last Name

Search only works with user First and Last name (cannot do partial name). It is not case sensitive.

Note:If you click on the First or Last Name, you will be routed to the User Profile Information page. This option is only available if you have Training or Super Admin privileges.

Location

  • Where user is located
  • Is a custom property

Manager

  • Manager first and last name
  • Is a custom property

Manager Email Address

  • Email address of the manager assigned to this user
  • Is a custom property

Module(s) Complete 

  • Lists names of modules that have been completed in assignment

Module(s) In Progress

  • Lists names of modules still in progress in assignment

Module(s) Not Started

  • Lists names of modules that have not been started

SSO Id

  • For customers using Alternate ID (instead of email address)
  • Would be the user's unique identifier in the Platform

Status

  • User’s status in the Assignment
  • Match the statuses in the status bar

You can use the Filters drop-down to sort on specific statuses.

User Email Address 

  • Email address of the user.
  • NOT a default column - will have to remove one column in order to select this one.
  • Can search by email address

Tips:

  • Table only shows 8 columns at a time (User Email Address is not shown as a default)
  • Columns are sorted by default
  • Columns can be re-ordered
  • Columns can be sorted ascending and descending order
  • Column selector allows the user to enable and disable different columns
  • Table display 10 rows at a time by default but can be changed by choosing a different value from Rows per page drop-down

Note:  You can export all information in the User Enrollments report including custom properties
